Senior Recognition Night

Description: A home Varsity match (discretion of Varsity Head Coach, generally the last home match) will be designated as "Senior Recognition Night" at which all senior members of the High School Wrestling team are acknowledged before the start of the match. The Chairperson for this event will be responsible for obtaining the date of recognition night from the Varsity Head Coach at the beginning of the season. Chairperson must also obtain names and pertinent information from each senior wrestler such as the parent(s) names, years wrestled, accomplishment, future plans, and whatever other information the coach deems appropriate. The Chairperson will ensure the announcer will have all information prior to the match for each senior wrestler. Each wrestler will be announced and have their accomplishments read as they present a gift to their chosen parent/guardian (generally a flower or corsage). The Chairperson must also notify the wrestlers' parents/family of the event and invite them to the match. A reception is to be held after the match with celebratory concessions. The Chairperson will organize the reception by arranging for baked goods, beverages, and location to be provided.

Junior High Recognition Night

Description: A home Varsity match (discretion of Varsity Head Coach) will be designated as "Junior High Recognition Night" at which the members of the Junior High Wrestling team are acknowledged before the start of the match. The Chairperson for this event will be responsible for obtaining the date of recognition night from the Varsity Head Coach at the beginning of the season. The Chairperson must notify all Junior High Wrestlers and coaches of the date and time. The Chairperson will ensure the announcer will have all roster information prior to the match. Chairperson is responsible for collaborating with Varsity Head Coach regarding the particulars of the evening (time to arrive, where to report, procedure for announcements). The chairperson should also confer with the Junior High Head Coach in regards to attire for the evening.

Youth Recognition Night

Description: A home Varsity match (discretion of Varsity Head Coach) will be designated as "Youth Recognition Night" at which the members of the Youth Wrestling team are acknowledged before the start of the match. The Chairperson for this event will be responsible for obtaining the date of recognition night from the Varsity Head Coach at the beginning of the season. The Chairperson must notify all Youth Wrestler parents and coaches of the date and time. The Chairperson will ensure the announcer will have all roster information prior to the match. The Chairperson is responsible for collaborating with Varsity Head Coach regarding the particulars of the evening (time to arrive, where to report, procedure for announcements). The chairperson should also confer with the Youth Head Coach in regards to attire for the evening.

Public Relations Appointee

Description: The Appointee is responsible for all advertising and/or announcements that need to be provided to the public before and throughout the season. The following are items identified at this time that the PR Appointee will provide:

  • Local newspaper, elementary and middle school newsletter ads providing information about youth wrestling registration
  • Pennsylvania Youth Wrestling website registration to announce tournament(s)
  • Contacting the sports department of local newspapers to report youth wrestling news, middle school wrestling results
  • Contacting the sports department of local newspapers at request of Varsity Head Coach for Varsity match events
  • Providing School District with updates of wrestling news and events

Tournament Committee

Description: This Committee will organize, from start to finish, the youth site meets and/or tournament(s) held during the season. This Committee will have a main Chairperson designated as "Tournament Chair", and several Committees within that have their own Committee Chair (known as Sub-Committee Chairs). Each Sub-Committee Chair will report back to the Tournament Chair. Some Committees may not be needed for site meets, only tournaments. The Tournament Chair is responsible for all Committees and their activities to ensure a smooth operation overall and will be responsible for the final report that will be given to KWBA at the monthly booster meeting following the event. The following are the Committees determined at this time:

  • Tournament Chair
  • Advertising Committee
  • Registration
  • Weigh Ins
  • Concessions
  • Admissions
  • Set Up (Mat rollers, clocks, tables, etc)
  • Clean Up (same as set up)
  • Bracket Setters (Including people to make copies and sell)
  • Table Workers (timers, scorers)
  • Prize Committee (selection and ordering of trophies)
  • Vendor Chairperson (various vendors to sell their wares in halls)

Each of these Sub-Committees will have their own chair and descriptions of duties will be forthcoming. Additional Committees may be needed.

Apparel Sale Committee

Description: This Committee selects the items the KWBA will offer for sale for the season and handles the sale thereof. Selection includes not just the items, but the designs that appear on select apparel as well as the vendor. The Committee will provide an order form with a price list to all wrestlers (High School through Youth) and coaches in a timely manner. Orders turned in must be accompanied by payment via check made payable to KWBA. No orders are to be placed without payment. All checks will then be turned over to the KWBA Treasurer who will issue a check payable to the vendor for the entire amount of the order. The Committee Chair, or designate, will arrange with the vendor for delivery or pickup of the order. The Committee will then be responsible for distribution of all merchandise.

Raffle Ticket Committee

Description: This Committee is responsible for the printing, distribution, collection, and drawing of the tickets and should include two Chairpersons (Co-Chairs) and preferably a Committee member to represent each team. Once the time frame and prizes have been decided upon (a process completed by KWBA), the Committee (or Committee designate) designs the raffle tickets and delivers the design to the printer. Tickets must be picked up when finished and then distributed to the wrestlers via a system this Committee has decided upon (generally a designate for youth, junior high, and high school teams: i.e. a team parent for each time). Any incentives for individuals or teams selling tickets must be decided upon by the Committee and approved by KWBA prior to the distribution of tickets. A master list must be kept of the tickets distributed (information to include wrestler's name and corresponding tickets they received) so that all tickets are accounted for by the date of the drawing. The Committee co-chairs are responsible for the reconciliation of the tickets sold and money collected throughout the raffle sale time frame and are responsible for turning the funds over to the KWBA Treasurer for recording and deposit. A record will also need to be kept regarding the number of tickets sold by each individual wrestler, a tally by the teams, and then the total overall. The drawing will take place at the time and place designated prior to the start of the raffle. The Committee Co-Chairs are responsible for the distribution of the prizes. A final report will be compiled that includes a number of tickets sold, total dollar amount collected, and profit realized after all costs. This report will be available to KWBA at the meeting following the drawing.

Concessions Committee

Description: This Committee organizes and runs the concession stand at all home wrestling matches. If there is a Junior High match the same day, the concession stand is open during both matches. The Chairperson, or designated Committee member, will decide which items should be sold (contact prior year's concession Chairperson for ideas) and then will solicit donations from the wrestling families for these items. Any additional items needed after donations can be presented to KWBA for consideration of purchasing those items. This will be an ongoing duty throughout the season. The Chairperson will assign dates for Committee members to work the stand (generally two are needed in the stand, so four for each home match when there are 2 matches). The Committee is responsible for stocking the concession stand and opening and closing it for each match. All items must also be put away and stored for the next time the stand is open. The Committee chair will be responsible for obtaining the cash drawer from the KWBA Treasurer prior to each match and then counting down the cash drawer at the end of the night before returning all of the cash to the Treasurer. A monthly report will be given by the Committee Chairperson to KWBA and a final report at season end will also be compiled.

Youth Registration Committee

Description: This Committee organizes the dates, places, and paperwork for the Youth Wrestling registrations. Generally two registration dates are selected for the month of October. Sites are determined (Spartan Football home game and Open House at the Knoch Intermediate School are generally expected). In early September flyers are designed that include the registration dates, places, costs, and contact information. Flyers must be approved by each School District Superintendent prior to distribution at the schools. Contact the local Elementary Schools for the number of students and then take the flier to the printer for copies (generally done on a bright colored paper). Flyers then need to be distributed to the elementary schools prior to the first registration date. The day of registration(s), at least 2 Committee members need to be at the table to hand out forms and collect checks. In addition to registration dates, forms can be mailed to KWBA and these will be forwarded to the Committee chair. A master list of all Youth Wrestlers must be compiled with the wrestlers' pertinent information (i.e. name, address, parent names, contact information, fee paid, etc.)
